Formation of teams in the contemporary business environment is directly linked to the execution of organizational strategy and various projects and initiatives linked to it. Since these projects and initiatives, as they arise, should follow ideas incorporated in firm’s strategic plans, team members should be also committed to their execution (Brown & Russel, 2008). The shaping of roles inside a team undergoes the similar process of forming, storming, norming and performing, sometimes followed by adjourning, as outlined in foundational studies by Tuckman (1965) and Tuckman & Jensen (2010).
In result, different skills and behaviors demonstrated by team members could be applied to different situations within the course of the project, so that each team member could demonstrate his expertise in particular problem resolution. In this report, a simulation of a small project team assigned to execute an educational business event will be discussed based on team roles required for effective project execution, using Belbin’s (1993) team role theory.
Role Assignments and DescriptionRole 1: Project Manager.
Project manager is a person who takes general responsibility for completing the project on time, within the agreed budget and with resources available for the project execution. In Belbin’s (1993) theory, project managers are equal to team controllers who have strong sense of objectives and capable of “treating and welcoming all potential contributors on their merits and without prejudice” (p. 72). Project managers should be assigned based on their experience in managing teams and resources, but more importantly, based on their organizational knowledge. They normally take responsibility for leading and organizing project meetings unless being scheduled by external groups involved into overall project deliveries or other project adjacent to the one under project manager’s responsibility.
Project manager’s responsibility per meeting may vary, but it would typically involve meeting scheduling in a form of advanced planning, meaning that a certain logic and basis for meeting attendance is established; leading the meeting according to the agenda, following meeting schedule/time required to accomplish, and sending meeting minutes specifying tasks and project members assigned. For the given simulation, it is assumed that project manager is responsible for overall success of business event, thus it would also be project manager’s responsibility to establish project success measures and calculate risks. Project manager might also seek for additional incentives to be implemented seeking for teams’ performance improvement (Gottfredson, 2015).
Role 2: Client Relationships
ExecutiveClient relationship executive under the scope of current project simulation is a person responsible for maintaining the productive relationship with external clients. For the business event, this might require finding clients interested to participate as both speakers and attendees, researching external environment regarding potential event sponsorship, finding new business contacts and seeking for appropriate media forms of event’s external communication. The importance of this role is also in translating client’s requirements into the business needs and effectively communicating them to the rest of the team, which explains its particular interdependence with other roles.
