The Techniques of Documentation Used in Business Reports

The everyday operations of any business require proper citation and documentation to enhance a smooth flow of business activities. One primary objective of proper citation and documentation in business reports is for reference in future businesses operations and accounting.

Proper citation and documentation indicate which business activities were carried out at what time and by who. It also gives a comprehensive report of the businesses that enhances the understanding of business operations and gives detailed analysis to the management to make informed decisions (Bovée, & Thill 2015). The proper citation of business reports also gives important information to auditors while analyzing the business activities. In addition, the alternative presentation of business information through documentation improves the audit risk audit risk assessment decisions of the auditors (Bovée, & Thill 2015).

The two major techniques of documentation used in business reports are narrative documentation and diagrammatic documentation.

Narrative documentation involves the systematic documentation of all businesses processes and operation in words. Narrative documentation is the most widely used technique in presenting business operations. This technique can be used to present large volumes of information pertaining business operations.

On the other hand, diagrammatic documentation employs diagrams in describing business operations and processes. According to Bovée, Thill, & Cross (2005), well- chosen and presented diagrams and graphs are often more readily recognized and understood than written information and instructions, especially when the target of those documentation are in a hurry, tired, or busy. Multimedia presentation software is commonly used in business seminars and meetings. They allow the presenter to navigate through and retrieve information stored in a combination of videos, graphics, sound, words, and other media (Bovée, & Thill 2015).

The multimedia software have various advantages and disadvantages and means of presenting information.One advantage of the multimedia software is that it is incredibly easy to use. Anyone with the basic knowledge of using a computer can easily operate the software. This property makes it an easier and more convenient ways of presenting information by anyone in the organization (Bovée, & Thill 2015). The large supply of custom layouts and library background make the software even easier to use. The other advantage of the multimedia software is that it allows the presenters to interact and make eye contact with the audience rather than facing the screen (Bovée, & Thill 2015). The presenters can get the feedback of their presentations by observing the reactions of the audience towards their presentations. It also enables the presenters to observe what the audience likes and dislikes. The other advantage of the multimedia software is that they provide convenient platforms for presenting graphs, charts and diagrams to the audience. These types of presentations would be difficult with other techniques of presenting information.

One disadvantage of the multimedia software is that it is difficult for the audience to take notes while the presentation is going on since they lose concentration (Bovée, & Thill 2015). For this reason, the audience may …
